Responsibilities of the Student’s Ombuds

  • Examines student requests for problems they face with academic and administrative services and seeks solutions to these problems.
  • Facilitates the students’ contacts with administrative bodies and services.
  • Examines reports-complaints of students for violation of provisions and rules of university legislation and ethics.
  • Examines complaints about unequal and not equal treatment of students by academic bodies and/or persons.
  • Informs students about their rights and obligations as members of the university community.
  • Manages any other matter related to the requests and problems of students during their studies for which there is no existing procedure to examine and deal with them.
  • The student’s Ombuds has no authority in matters of exams and students' grades.
  • The examination and management of difficult cases where poor interpersonal relations develop between members of the student community and members of the academic community in the context of their relationship as supervisors and students, falls within the competence of the Ad Hoc Committee for the Management of Conflicts and Peculiar Cases which has been established for this purpose.

 

Submission of a request

For each issue, a mediation request needs to be submitted, which can be found on the website of the Student’s Ombuds.

Examination of a request

The Student’s Ombuds in each case consults with the complainants, giving them the opportunity to express their views, so that, if possible, the problem can be resolved at an early stage. If, despite this, the problem continues to exist, the Student Advocate proceeds to further investigate the case.

If he/she finds that in a specific case the law is not respected, that there are phenomena of maladministration or that the proper functioning of the University is disturbed, he/she draws up a conclusion which notifies the person or the related entity and the student who submitted the petition and mediates again in any convenient way to solve the problem.

In case that there are indications of a disciplinary offense being committed, the Ombuds forwards the case to the competent disciplinary body (Academic and other Staff Disciplinary Review Committee, Student Disciplinary Review Committee, Administrative Staff Disciplinary Council).

The findings of the Student's Ombuds, as well as a report with his/her annual activities, are published on the University's website, subject to the provisions of the legislation on the protection of personal data, as applicable.

Regarding the protection of personal data, the Student Ombuds is committed to operate in accordance with the policy of processing Personal Data of the Cyprus University of Technology to the point that will allow his/her mediation competence (https://www.cut.ac.cy/university/legislation/gdpr-policy/).
